📇 Using vCards

📇 Using vCards

Overview

vCards (Virtual Contact Files) are a powerful tool for sharing complete business contact information with your clients. OktoRocket supports embedding vCards into canned messages — and now also provides a scannable QR code option — making it easier than ever to deliver a digital business card that clients can instantly save.

Why this matters now more than ever:
Recent updates from both Apple (iOS) and Android automatically filter messages from unknown senders — meaning numbers that are not saved in a customer’s contacts.

  • On iPhone, these messages are routed to a separate “Unknown Senders” folder
  • On Android, they can be silently filtered and difficult to find

This can lead to missed messages, delayed responses, and a poor customer experience.

By getting your business saved in the customer’s contacts upfront — whether via texted vCard or in-shop QR code — you ensure your future calls and messages land where they should: front and center.

Whether sent digitally or scanned in person, a vCard ensures your communication appears polished, recognizable, and trusted — complete with your company’s name, logo, and contact details.

🧾 What Is a vCard?

A vCard is a standard file format for electronic business cards. It usually has the .vcf file extension and can include:

  • Full name and title
  • Company name and logo
  • Phone numbers (work, mobile, fax, etc.)
  • Email address
  • Physical address with map links
  • Website and social media links
  • Directions

Once a recipient adds the vCard to their contacts, their phone or email client uses that information for future communication.

✨ Benefits of Using vCards with OktoRocket

  • Avoid Message Filtering Issues: Ensures your messages don’t get lost in “Unknown Sender” filters
  • Professional Presentation: Your calls and texts display your company name and logo instead of a generic number
  • Stronger First Impressions: Clients instantly see your full contact details in one place
  • Increased Trust: Branded contact entries reduce the likelihood of being mistaken for spam
  • Quick Access: Customers can tap to call, text, follow, or navigate to your business
  • Cross-platform Compatibility: Works across most smartphones, tablets, and email platforms
  • Flexible Delivery: Send digitally or provide in-person via QR code

📤 Sending a vCard via Canned Message

  1. Log into your OktoRocket dashboard.

  2. Go to the "Canned Messages" section.

  3. Create or edit a canned message you want to use.

  4. Click the toggle next to vCard

  5. Save the message.

Now, whenever your team uses that canned message, the client receives the vCard as an attachment.

📱 New: Sharing Your vCard with a QR Code (In-Shop Experience)

OktoRocket now allows you to generate a QR code for your vCard, giving customers a fast, contactless way to save your business information — perfect for vehicle drop-off moments.

đźš— Ideal Use Case: Customer Drop-Off

When a customer arrives to drop off their vehicle:

  1. Display your QR code at the front desk, service counter, or waiting area
  2. Ask the customer to scan it with their phone camera
  3. Their phone instantly opens your contact card
  4. They save it — and your business is now stored in their contacts

This ensures:

  • They recognize your calls and texts immediately
  • Your messages don’t get filtered or missed
  • They have quick access to directions, phone, and website
  • You establish trust right at the start of the relationship

🔧 How to Generate Your vCard QR Code

  1. Go to Sites → Site Edit

  2. Open Contact Details
  3. Scroll to vCard Preferences

  4. Configure the fields you want included
  5. Click Download vCard QR Code

You can:

  • Print it for your front desk or service area
  • Add it to signage, invoices, or receipts
  • Include it in emails or digital documents

📱 Client Experience

When Receiving a vCard via Message:

  • On mobile phones, clients tap to instantly save the contact
  • Future calls or messages from your number will display your company branding

When Scanning the QR Code:

  • Their phone detects the contact instantly
  • They’re prompted to save your business
  • Your contact is stored with full branding and details

In both cases, your business becomes a recognized, trusted contact, ensuring better communication and response rates.
