Setting Up a Holiday Call Route

Holiday Route Setup in OktoRocket

A complete guide to configuring holiday greetings, routing, and automated SMS responses.


Overview

Holiday Routes let your shop play a special greeting and send an automatic SMS reply during holidays such as Thanksgiving, Christmas, or any custom closure you configure. This guide covers:

  • Setting up your holiday dates

  • Adding holiday SMS auto-responses

  • Creating your holiday greeting audio

  • Building the Holiday Route

  • Testing and updating your holiday setup

Use a Holiday Route anytime your business will be closed or operating under adjusted hours.




1. Configure Your Holiday Schedule

  1. Go to Settings

  2. Select Communication

  3. Click Holidays

If your business uses multiple holiday lists, all will be shown here.
If you only use a single list (default), you’ll see US Holidays automatically.

Click the eye icon under Actions to open the holiday list.


Edit or Add Holidays

Inside the list you can:

  • Add new holidays

  • Edit existing holidays

  • Adjust names, dates, and times

Thanksgiving and Christmas are included by default.

These entries determine exactly when the Holiday Route activates.


Holiday Auto-Response (SMS)

Each holiday has a built-in text message auto-reply.
If a customer texts your shop on a holiday, they receive this message automatically.

You may edit this message within each holiday entry.


Extended Closure (Long Weekends, Early Closures)

If your shop is closed for several days or has modified hours:

  • Open the holiday

  • Change Holiday Type → Date Range

  • Select start and end dates

  • Adjust start/end times (ex: closing early at 2 PM)

This controls when OktoRocket switches to the Holiday Route.


2. Create Your Holiday Greeting (Audio)

Where to Create or Upload Audio

  1. Go to Sites

  2. Select your location

  3. Under Module Settings, choose Call Settings → Prompts

This area stores all audio files used in your phone system.


Three Ways to Create Your Greeting

AI Prompt

  • Select AI Prompt

  • Type your script

  • Choose a voice and speed

  • Preview and save the file

Record by Phone

  • Select Record Prompt

  • Enter an extension or phone number

  • Follow the voice prompts to record

Upload MP3

  • Select Upload File

  • Choose an existing MP3 file


Create the Prompt Entry

Once your audio file exists:

  1. Scroll to Current Prompts

  2. Click the + icon

  3. Name your prompt (ex: Thanksgiving Greeting)

  4. Select your audio file

  5. Click Create

Create a separate prompt for each holiday.


3. Build Your Holiday Route

Access Your Routing

  1. Go to Sites

  2. Select your location

  3. Click Routing

You may see multiple routes.

  • A * under Numbers = route applies to all inbound lines

  • Enabled under Status = route is active

If you are unsure which to use, contact OktoRocket Support.


Open Your Main Route

Open the route typically named Default.

Inside every route you will see:

  • Open Route

  • Closed Route

  • Holiday Route

If Holiday Route is not configured, the Closed Route will be used on holidays.


Configure the Holiday Route

Step One – Play Greeting

  1. Click Holiday Route

  2. In Step One, click the gear icon

  3. Add a description:
    Play Holiday Greeting

  4. Set Destination Type → Play Audio

  5. Select your holiday greeting file

  6. Preview

  7. Click Close


Step 1.1 – Voicemail (or next action)

  1. Click the + icon to add Step 1.1

  2. Set Condition → Always

  3. Set Destination Type → Voicemail

  4. Click Close

  5. Click Save

Your Holiday Route is now active.


4. Test Your Holiday Route

Next to Save, click Test Route.

This allows you to hear:

  • The holiday greeting

  • The voicemail hand-off

  • Your full caller experience

Always test after updating greetings.


5. Updating for Each Holiday

When switching from one holiday to another:

Create individual prompts:

  • Thanksgiving Greeting

  • Christmas Greeting

  • New Year’s Greeting

Then:

  1. Go to Holiday Route

  2. Open Step One

  3. Swap the prompt to the next holiday

  4. Save

This keeps your setup organized and easy to update.
