Configure and Monitor the Settings

Navigate to Sites → Select Location → General → OktoAssist. Everything below lives on this one page — set it up once, then return to check on it regularly.

1
Usage Limits
Calls used
Included and additional calls used so far this period.
Additional calls
Whether they're enabled, and how many have been used.
Maximum allowed
The ceiling you've set for additional calls.

To let OktoAssist continue answering after the included allowance is used, turn on Allow Additional Calls, enter your maximum, and select Save Changes.

Check back here regularly — as call volume climbs, included and additional calls used update in real time, so this is the fastest way to see how close a site is to its limit.

Lead Follow-Up
OktoAssist Lead Follow-Up

Turn on Create Lead Tasks for Unfinished Appointments to have a lead task created whenever a booking conversation ends without a completed appointment.

Review and complete these tasks as part of your normal follow-up process. A task gets created any time a caller:

  • ›Asked about service but didn't book
  • ›Ended the call before completing the appointment
  • ›Needed additional assistance, or couldn't find an appropriate time
Before You Continue
Set up a backup call flow: Make sure OktoAssist has a fallback for when it reaches its call limit. This is configured as part of your OktoAssist call route, not on this settings page.
3
Review Configuration Recommendations

OktoAssist may display a recommendation when a call route is missing an important configuration option — for example, enabling advisor transfers when a route has none selected.

  1. Review the recommendation
  2. Open the related step preferences
  3. Confirm the current routing configuration
  4. Make the appropriate update and save
  5. Test the updated route

Key Things to Know

Plan Terms
Allowances vary: Call-usage allowances and additional-call terms may depend on your plan and current program terms.
Recommendations
Follow the link: Configuration recommendations point straight to the setting that needs attention — open the related step preferences to fix it.
Important
Configured in Call Routing, not here: Your backup call flow for when OktoAssist reaches its limit lives in your OktoAssist call route. If it has no steps configured, callers go straight to voicemail by default — test it periodically.
