Dashboard FAQ

Dashboard FAQ

  1. What do the Different Colors Mean in the Outrunning Overhead Section?
    - Red: Your Gross Profit (GP) has not surpassed your overhead.
    - Black: Your GP has surpassed your overhead, meaning you are profitable.
    - Green: You have met your GP goal.

  2. Is there an option to see all of my shops?
Depending on your level of access, you can navigate to the top right corner, select the dropdown menu, and choose either: All Shops or All Shops - Details

  3. Can I see dashboard metrics for previous months?
To view data from a previous month, go to the Dashboard and select a month from the dropdown menu in the top left corner. Click on the current month’s name to see and choose from past months.

  4. Why aren’t all of my sales appearing on the Daily Sales section?
OktoRocket tracks a sold date for each Repair Order (RO) rather than for individual Jobs. This means that the timing of when sold work appears in OktoRocket is based on the RO’s sold date, not the job’s.
*We are actively working on adding Job-Level authorizations.*

  5. Is there a metric that displays the Duration of Service?
Yes, on the dashboard, you can view this for the entire month by hovering your mouse over the "i" icon next to "Month" on the month card near the top.

  6. What is the best way to find out GP per Advisor per month?
To view an individual Advisor's Gross Profit (GP), go to the Dashboard for the current month. Click on Advisors/Technicians at the top, then select an advisor or technician’s name to expand and view their details.

  7. Is there a way to track a technician's average tech quote from week to week?
Yes, below the list of Service Advisors and Technicians, you'll find a week-by-week view for both techs and advisors.

  8. On the Leaderboard, what factors contribute to the sales figure? Does it include approved work in progress?
The inclusion of WIP in sales data depends on the data view you're using:
-If you are in Posted + Complete + Sold (All) or Posted + Complete + Sold (This Month), then yes, sales will include WIP.
-If you are in the Posted data view, then no, it does not include WIP.

  9. Does the leader board sales totals include shop supplies?
Yes, you can disable Shop Supplies in the GP calculations. To do this, go to your profile in the top right corner of OktoRocket. Click on your name, then select Profile.

  10. What exactly does rollover tell me?
Rollover represents the sales, gross profit (GP), tickets, and hours that remain open from previous months. Each month, it tracks tickets that were authorized in prior months but have not yet been closed. OktoRocket displays both Weekly and Monthly Rollover:
-Weekly Rollover can be found in the Month by Week section.
-Monthly Rollover is displayed at the bottom of the dashboard.

  11. Where do I set my shops Overhead?
    1. Go to Goals
    2. Find this month
    3. Click Edit Goal
    4. Set your projected overhead
When entering your overhead, be sure to include all expenses except for parts and labor in the overhead field.

  12. Why are customers categorized as Returning for the source still appearing under New Customers?
The marketing source in your SMS system may not always be accurate. OktoRocket determines whether a customer is new or returning by first checking its own system for past interactions. If no history is found, it then checks your SMS system.

  13. How do I remove an employee from my Dashboard?
To remove an employee from the OktoRocket Dashboard, you will need to update the data directly in you Shop Management System. OktoRocket pulls technicians and advisors directly from your SMS data based on ticket assignments. These employees appear for historical reference only and do not impact your numbers or data beyond existing for past record purposes.
